Who is responsible?
Benolytics BV, trading as The Smart BnB, registered at Hadewijchstraat 31, 8310 Assebroek, company number 1033.399.891, is the data controller for the data processed through this site and the platform.

What data do we process?
If you fill in the contact form
First name, last name, email address and, if you provide them, phone number, town or city, number of properties, booking platform and your message. We use this only to get in touch with you about your enquiry.
If you have an account (owner or co-host)
- Your name and email address, so you can log in.
- The properties you manage: address, devices and settings such as temperature limits.
- Reservations read from your booking calendar or PMS: arrival and departure dates, and — only if your platform passes it on — the guest's name.
- Access codes and the log of openings: which code was used, and when.
- Signals from the sensors in the property and the alerts that follow from them.
If you are a guest
You get a guest link with your access code. To show that link we process the duration of your stay and the code that goes with it. If your host's booking platform passes on your name, it is included; with a plain calendar connection it is not, and we only know the dates of the stay.
What we explicitly do not do
No camera images and no audio recordings are made. Ever. The sensors measure noise level, occupancy, smoke, temperature and humidity. They measure that there is noise, not what is being said. No sound is stored or transmitted.
We do not sell data and we do not use it for advertising or profiling.
On what basis may we process this?
- Performance of the contract — to make the platform work for subscribers, and to give a guest access to the property they booked.
- Legitimate interest — to protect the property and the owner against damage, nuisance and break-ins, and to detect faults. For monitoring we have weighed that interest against the guest's privacy: that is why we measure signals and not content.
- Legal obligation — for accounting and invoicing.
- Consent — for a contact enquiry you send yourself.
Who do we share data with?
Only with processors needed to deliver the service, and only what they need:
- the hosting provider for the platform and the database;
- the manufacturers of the devices installed in the property, to put a code on a lock or set the temperature;
- the payment processor for the subscription, and the email and SMS providers used for alerts.
Processors outside the EEA are engaged only with appropriate safeguards. Beyond that we pass nothing on, unless the law requires us to.
How long do we keep it?
- Contact enquiries: up to two years after the last contact.
- Account data: for as long as the subscription runs, and after that until the statutory retention periods end.
- Access codes and the log: up to twelve months after the stay, so a dispute about damage or a late departure can still be substantiated.
- Sensor readings: up to thirteen months, in aggregated form. Readings with no incident attached are cleared sooner.
- Invoices: seven years, as the law requires.
What rights do you have?
You have the right to access, rectification, erasure and restriction of your data, the right to data portability, and the right to object to processing based on legitimate interest. Send your request to info@thesmartbnb.be; we reply within 30 days.
If you are a guest and want to know what is processed about your stay, please contact your host first: they decide which devices are installed and how they are configured.
